ABOUT THIS JOBThe Project Manager is responsible for the delivery of a large-scale project to develop and implement a completely new Netsuite ERP system for VAS. This includes the project management and execution of all phases, including initiation, solution selection, system design & development, and deployment. SCOPE OF THE ROLE1. Initial Planning & Preparation • Identifying needs & priorities by relevant stakeholders within VAS, the project scope, timelines, milestones, and resource allocation.• Searching for and coordinating the negotiation process with potential vendors• Developing and finetuning of the detailed business proposal including funding and manpower requirements for approval • Coordinating the finalization and signing of contractual documents with relevant stakeholders within VAS and the selected vendor(s).• Building a project team with the correct mix of resources both internal and external, that supports the project’s success2. System Design and Configuration • Coordinating and overseeing the project activities, progress to ensure compatibility, data configuration, migration, and system interoperability as outlined in the Project objectives.• Coordinating the testing, validation, and user acceptance phases to ensure system functionality meets the Project requirements.3. Change ManagementWorking with the key business leaders to ensure there are change management strategies in place to support successful adoption of the new systems• Ensuring appropriate resourcing from within affected functions• Developing a Change Impact Assessment to ensure all aspects of change have been recognised• Defining a communications and training strategy & plan• Defining a training plan to assist staff, campuses, finance and accounting team members and relevant stakeholders to understand and use Netsuite effectively.4. Budget and Resource Management• Tracking project expenditures, managing budgets, and ensuring efficient resource allocation throughout the project lifecycle.• Evaluating vendor proposals, negotiating contracts, and monitoring vendor performance to ensure deliverables meet quality standards.5. Quality Assurance and Risk Management• Establishing quality assurance processes to verify deliverables and adherence to project specifications.• Identifying project risks, assessing potential impacts, and implementing risk mitigation plans to minimize disruptions.6. Stakeholder Management & Reporting• Collaborating closely with all relevant stakeholders / project team members and external vendors to align project goals with organizational objectives.• Managing stakeholder expectations by providing regular updates, addressing concerns, and facilitating feedback sessions.• Preparing regular progress reports, executive summaries, and presentations for project stakeholders and leadership.• Maintaining comprehensive project documentation, including meeting minutes, action items, and project artifacts.7. Training and Ongoing Support • Responsible for the development and delivery of training programme to relevant stakeholders, users and maintaining such training and support to help them effectively integrate the system into their daily work & teaching practices.KPIs (Key Performance Indicators):1. Timely implementation of the project: as per the milestones approved in the Project Plan2. System efficiency & performance (reliable, automated, user-friendly, speedy, consistent, error-free) 3. User satisfaction (satisfaction of finance team, admission teams and other relevant stakeholders)4. System maintenance and innovation (ongoing efficiency, continuous improvements, readiness for further updates and innovations)5. Analytics based reporting (data-driven, quality and accuracy of data, multi-level reporting, ability to support decision making) 6. Training effectiveness and support (readiness ad fluency of users, adoption rate, digital transformation mindset & culture)7. Security & privacy (the system is secured with proper security solution, clear allocation of access rights, backup data storage, mobile security, data encryption, etc.) 8. Alignment with VAS-wide systems (LMS, Salesforce)INTERNAL AND EXTERNAL CONTACTSThe Finance Project Manager will need to coordinate work with relevant bank partners to integrate relevant payment solutions (H2H, Middleware integration) into Netsuite solution. On top of this s/he needs to also integrate Netsuite with Salesforce and CRM modules to ensure data integrity into finance systems, especially on Billing process.

QUALIFICATIONSMinimum bachelor’s degree in IT related or educational field KNOWLEDGE & EXPERIENCE • Bachelor’s Degree in Information Technology, Computer Science, Business Administration, Project Management or a related field. This should be combined with a strong accounting and finance knowledge or experience.• Proven experience (3+ years) managing complex IT projects, ideally involving ERP system such as Oracle, SAP or Netsuite.SKILLS • Excellent leadership, communication, and interpersonal skills with the ability to influence stakeholders and build collaborative relationships.• Demonstrated ability to prioritize tasks, manage multiple priorities, and thrive in a dynamic, fast-paced environment.CONTRACT COMMITMENT Able to commit to a one-year full time contract.BENEFITS• Compulsory Insurance (HI, SI, UI) and Personal Tax are covered by VAS.• 13th monthly salary and KPIs bonus• Lunch at school, Tet gift, ….• Staff will get 100% discount of tuition for 2 children (other fees such as meal fee, school bus fee, expenses for textbooks, uniforms, extra curricula activities, entrance test fee,… are still applied as stipulated)• Annual Company trip, Team building• Working in professional environment
