1. Job SummaryThe Process Documentation Specialist is responsible for developing, managing, and standardizing internal process documentation to ensure operational consistency, compliance, and efficiency. This role collaborates with cross-functional teams to gather information, create structured and well-documented Standard Operating Procedures (SOPs), and optimize internal knowledge management systems. Additionally, the position supports continuous process improvement initiatives and ensures seamless adoption of new policies and workflows.2. Key ResponsibilitiesA. Process Documentation Development & Management • Collaborate with relevant departments to collect, structure, and document key operational procedures, policies, and internal workflows. • Develop and maintain Standard Operating Procedures (SOPs), work instructions, training manuals, and compliance documentation. • Establish a logical documentation structure and implement effective storage and retrieval systems using platforms such as Google Drive, SharePoint, Notion, Confluence, or other enterprise document management tools.B. Process Standardization & Compliance • Ensure all internal documentation aligns with company standards, regulatory requirements, and industry best practices. • Conduct periodic reviews and updates of existing documents to reflect process enhancements, system updates, and policy changes. • Develop and implement compliance checklists and audit mechanisms to monitor adherence to documented procedures.C. Process Optimization & Change Management • Analyze current processes, identify inefficiencies, and propose process optimization strategies. • Assist in the development and implementation of a Change Management framework, ensuring smooth transitions and user adoption of new or revised workflows. • Work closely with key stakeholders to streamline and integrate documentation within digital transformation initiatives.D. Training & Knowledge Transfer • Design and deliver training sessions, onboarding materials, and user manuals to support knowledge transfer across teams. • Facilitate internal workshops and SOP training programs to ensure effective understanding and application of documented procedures. • Act as a key resource for process-related inquiries, providing guidance on best practices and compliance requirements.

A. Experience & Knowledge: • 2-3 years of experience in roles such as Business Analyst, Process Analyst, Technical Writer, or Knowledge Management Specialist. • Strong expertise in process documentation, workflow standardization, and compliance management. • Hands-on experience with document control systems, knowledge bases, and collaboration platforms such as Google Drive, SharePoint, Notion, Confluence, or ERP systems (SAP, Salesforce, Oracle). • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and process visualization tools such as Visio, Lucidchart, or Miro. • Prior experience in Change Management, business process reengineering (BPR), or Lean/Six Sigma methodologies is an advantage.B. Core Competencies & Skills: • Exceptional technical writing skills with a focus on clarity, accuracy, and consistency. • Strong analytical and problem-solving abilities to evaluate and optimize business processes. • Excellent stakeholder management and cross-functional collaboration skills. • Highly organized, detail-oriented, and proactive in maintaining documentation integrity. • Fluency in English (reading & writing) is a plus, especially for bilingual documentation.
